AI meeting transcription has become a real category in 2026. What used to be “let’s see if it transcribes 80% correctly” is now “the tool joins the meeting, writes a structured summary, identifies action items, and emails it to attendees within 5 minutes of the meeting ending.”
We tested the four leading tools — Otter, Fireflies, Granola, and Read AI — against identical meetings. Same audio quality, same speakers, same content, same week. Here’s what we found.

What’s different in 2026
Three things have improved dramatically since 2024:
1. Transcription accuracy — leading tools hit 95%+ on clean audio in major languages. Speaker diarization (who said what) is now reliable.
2. Summarization quality — instead of dumping a transcript, these tools produce structured outputs (key decisions, action items, follow-ups). The summarization is the value, not the transcript.
3. Integration depth — Calendar integration means the tool automatically joins your scheduled meetings. CRM integration logs the summary in Salesforce/HubSpot. Slack integration posts summaries to relevant channels.
The category went from “AI scribe” to “AI meeting infrastructure.”

Granola wins narrowly. Fireflies close second. Otter has the most mature stack but slightly lower summarization quality. Read AI is the newest entrant; promising but less differentiated.
When to use which
Use Otter when:

- You’re already on Otter and it works
- You need the widest integration list
- You take notes from a transcript later (don’t need AI-quality summary)
Use Fireflies when:

Privacy considerations
All four tools record/transcribe meetings. Practical implications:
Notify all attendees. Most jurisdictions require consent for recording. The tool may add “Otter is recording” but you should explicitly say it too.
Storage location matters. Most tools store transcripts in their cloud. For sensitive meetings (legal, medical, HR), check the tool’s data residency and retention.
Granola has a local mode. Audio processed on your Mac, transcript stays local. Useful for sensitive meetings.
For maximum privacy: record locally, don’t use a cloud AI transcription tool. Transcribe with local Whisper.

Otter and Fireflies have legitimately usable free tiers. Granola requires paying after trial. All four are similar cost paid tiers.

No one thinks the others are wrong. The category has matured to the point where multiple good options exist.
What about Microsoft Teams transcription?
Microsoft Teams now includes auto-transcription and AI meeting summaries in Microsoft 365 Copilot (~$30/mo per user). For Microsoft-shop teams, this is the path of least resistance.
For non-Microsoft teams, dedicated tools (Otter, Fireflies, Granola, Read AI) are usually better.
What about Zoom AI Companion?
Zoom added AI summaries to most paid Zoom tiers in 2024. Included in your Zoom subscription.
Quality is comparable to Otter (decent transcription, average summarization). For Zoom-heavy teams that don’t want a separate tool, AI Companion is fine.
For best-in-class summarization: still go with a dedicated tool.
Privacy + AI transcription: when to NOT use these
For meetings involving:
- Legal privilege (attorney-client conversations) — AI transcription may waive privilege
- Protected health information (HIPAA) — most consumer transcription tools aren’t HIPAA-compliant
- Trade secrets / confidential business info — consider data residency carefully
- GDPR-protected personal data — verify each tool’s compliance
In these cases, local-only transcription (Whisper running on your machine) is safer.
